What’s The Opportunity

The Commercial & Property Manager works under the direction of the Commercial Director and is responsible for managing the airport’s commercial leases, licenses and service contracts to ensure contract compliance and optimization of airport revenues.  The post-holder oversees staff and systems integral to effective contract and property management functions, including contract workflow, compliance, and revenue performance. Responsibility for managing the Airport Traffic Officers (ATO’s) and Concierge Team with well-organized scheduling of resources to deliver efficient operations.  The post-holder acts as the administrator of the Airport Property Database with the accountability for nurturing good business relations with all tenants and commercial service providers.

Essential Functions and Responsibilities

  • Communication with tenants, licensees, and others on conditions and responsibilities of contracts, including fixed and variable rent/concession fees, insurance coverage, maintenance services, design standards, environmental obligations, investment, and construction schedules
  • Effective management of contract workflow, ensuring that all leases, licenses and commercial service agreements are renewed, renegotiated, assigned, extended or terminated at the appropriate time in accordance with the contractual terms
  • Assists in the preparation of monthly, quarterly, and annual reports on commercial contract compliance, workflow, property occupancy rates, revenue yield, maintenance costs
    Attendance at meetings on behalf of the Commercial Department and coordination of quarterly concessions holders and tenant’s meetings
  • Commercial customer service support and coordination as necessary with Operations, Technical/Engineering departments to ensure that any complaints or maintenance issues of tenants are promptly addressed and expeditiously mitigated and rectified
  • Assistance in the preparation of commercial Requests for Qualifications (RFQs) and Requests for Proposals (RFPs) and facilitation/coordination of commercial procurement and tendering processes
  • Prepares, procures and administers all commercial contracts, leases and licenses relating to duty free, specialty retail, food and beverage, office and other space rentals, advertising, parking, transportation, financial services, telecoms, property development and other commercial businesses of the airport
  • Establishes appropriate rates, fees and charges for all commercial space and services provided at the airport, including fixed and variable rental rates, minimum annual guarantees (MAGs), license fees, security deposits, common area management fees (CAM), and utilities administration charges
  • Manages customer service performance monitoring of all commercial/retail services as well as the customer satisfaction survey program
  • Ensures client service standards are met in areas of pricing, compliance audits and general compliance with contract/lease/license guidelines including day-to-day operations of concession units
  • Benchmarks against other airports, local retail areas, hotels, in terms of product lines, pricing, quality and revenue performance
  • Under advice from Commercial Director, ensures appropriate liaison with the Finance Manager to take appropriate action on delinquent accounts pertaining to leases, licenses and agreements
  • Ensures emphasis is always placed on customer service and that any complaints from passengers or other terminal users in relation to provision of commercial services are promptly investigated and, wherever possible, speedily rectified
  • Coordinates as necessary with Airport Operations and Technical Departments to ensure that all users and Tenants are aware of building alterations or any other significant amendments to the Terminal operations
  • Undertakes other duties within the scope of responsibilities, as may be designated from time to time, by the Commercial Director
  • Assists in preparation of annual expenditure and revenue budgets as well as Capital Expenditure plans for future improvements
  • Responsible to read, understand and comply with all company policies, applicable Standard Operating Procedures (SOPs) and applicable manuals

 

Supervisory Responsibility 

  • To lead and motivate the Commercial team and support the Commercial Director to aid in the smooth running of the department
  • Management of the Commercial schedules, as it relates to the Airport Traffic Officers (ATO’s) and Concierge Team
  • Responsible for scheduling and assigning duties to the appropriate team members
  • Schedule and conduct team meetings on a regular basis to discuss work schedules and timelines
  • Communicate safety practices, deadlines and monitor goals and objectives, that contribute to the success of the team
  • Make training recommendations for the team as needed
  • Complete performance evaluations of the team in a timely and efficient manner, meeting set guidelines for completion

Fiscal Responsibility  

Responsible for ensuring that commercial revenues of the airport are in accordance with terms contractually agreed, and that any instances of noncompliance/breach on the part of lessees, licensees, or commercial service providers be documented and reported to the Commercial Director.

Knowledge, Skills, Abilities

  • A minimum of five (5) years’ experience in a similar role
  • Bachelor’s Degree in a relevant field or equivalent
  • Experience in property management and the administration of commercial leases/licenses/contracts
  • Analytical skills for purposes of business planning, proposal evaluation, and tracking of commercial revenue performance
  • Familiarity with local real estate laws and practices
  • Database management skills.
  • Ability to produce monthly, quarterly, and annual reports on contract compliance, workflow, property occupancy, and revenue yield.
  • Excellent interpersonal, communication, organizational, problem-solving and time management skills
  • Customer service orientated.
